Core Concept

Service Intelligence

The practice of using data, analysis, and AI to understand what services a business needs, what they should cost, where operational gaps exist, and what type of provider is the right fit. Service intelligence transforms service decisions from reactive guesses into proactive, informed choices.

Operational Gap

The difference between where a business currently operates and where it needs to be to function efficiently and scale. Common gaps include undocumented processes, outdated technology, missing roles, no compliance framework, and low automation.

Business Health Score

A quantitative assessment of a business's operational health across key dimensions — operations, technology, staffing, governance, customer management, and automation. The score identifies strengths and gaps to guide improvement priorities.

Service Model

Outsourcing

The practice of contracting external providers to perform business functions that could otherwise be handled in-house. Outsourcing ranges from simple tasks like bookkeeping to complex functions like software development and customer support, offering cost savings, specialized expertise, and scalability.

Nearshore Outsourcing

Outsourcing to providers in neighboring or nearby countries with similar time zones. Nearshore offers a balance between onshore (same country, highest cost) and offshore (distant countries, lowest cost) — moderate cost savings with better communication alignment.

Offshore Outsourcing

Outsourcing to providers in distant countries (e.g., Philippines, India) to achieve the greatest cost savings — typically 40–70% compared to onshore. Requires managing time zone, language, and cultural differences.

Provider Type

Freelancer

An independent professional who offers services on a project or contract basis. Freelancers are cost-effective, offer direct communication, and are best for focused, well-defined projects — but have limited capacity and skill range compared to agencies.

Agency

A team-based service provider offering multiple skill sets, project management, and guaranteed capacity. Agencies cost more than freelancers but provide broader expertise, redundancy, and the ability to handle complex, multi-disciplinary projects.

Contracts

Service Level Agreement (SLA)

A formal contract between a service provider and a client that defines the expected level of service, including quality standards, response times, availability, and remedies if standards are not met. SLAs are essential for managing outsourced relationships.

Risk Management

Vendor Dependency

The risk of becoming too reliant on a single external provider, making it difficult or costly to switch providers or bring the function in-house. Vendor dependency can be mitigated through documentation, standard tools, and backup provider identification.

Scope Creep

The gradual expansion of a project's scope beyond its original boundaries, often leading to cost overruns, missed deadlines, and quality issues. Scope creep is mitigated through clear contracts, change request processes, and regular scope reviews.

Compliance Framework

A structured set of policies, procedures, and controls that ensure a business meets its legal, regulatory, and industry obligations. A compliance framework reduces legal exposure and builds trust with customers and partners.

Decision Framework

Build vs Buy

The software-specific version of hire vs outsource: whether to build a custom solution (hire developers) or buy an existing product (SaaS subscription). Build offers customization and ownership; buy offers speed and lower upfront cost.

Outsource vs Automate

The decision between outsourcing a repetitive task to a human provider or automating it with software, AI, or scripts. Automation has higher upfront cost but near-zero ongoing cost; outsourcing has lower upfront cost but ongoing per-task fees.

Cost & Pricing

Fully-Loaded Cost

The total cost of an employee including salary, benefits, taxes, equipment, software, office space, and management overhead — typically 1.25–1.4x the base salary. Essential for accurate hire-vs-outsource comparisons.

Retainer Pricing

A pricing model where the client pays a fixed monthly fee for a defined scope of ongoing services. Retainers provide predictable costs and guaranteed availability but require clear scope definition to avoid scope creep.

Hourly Rate Pricing

A pricing model where the provider charges for actual hours worked. Hourly pricing offers flexibility and transparency but creates budget uncertainty. Best for projects with undefined scope or variable workload.

Project-Based Pricing

A fixed-price model where the provider charges a set amount for a defined deliverable. Project-based pricing offers budget certainty but requires detailed scope definition upfront. Best for well-defined, bounded projects.

Service ROI

Return on Investment for a service engagement — the value generated by the service divided by its total cost. Service ROI factors in quality, speed, flexibility, and opportunity cost, not just the direct price of the service.

Operations

Knowledge Transfer

The process of documenting and transferring institutional knowledge from one person or provider to another. Essential when outsourcing, switching providers, or onboarding new team members to prevent knowledge loss and vendor dependency.

Bottleneck

A specific point in a process or workflow that limits the overall throughput of the entire system. Identifying and resolving bottlenecks is critical for scaling operations efficiently — the slowest step determines the maximum speed of the whole process.

Scaling Readiness

A business's preparedness to grow without breaking — having the right processes, technology, team, and financial foundation to handle increased volume. Scaling readiness assessments identify what needs to be in place before aggressive growth.

AI & Automation

Automation Opportunity

A repetitive, rules-based task or process that can be automated using software, AI, or scripts — replacing or reducing human labor. Identifying automation opportunities is the first step toward reducing costs and improving consistency.

Digital Transformation

The integration of digital technology into all areas of a business, fundamentally changing how it operates and delivers value. Digital transformation goes beyond digitization — it reimagines processes, culture, and customer experiences.
